The Toolkit

The tools we actually run on.

No giant list of everything under the sun. These are the tools I use to run Kairos and build for clients — the ones I’d still recommend if there were no link attached.*
Run the business
Cu

ClickUp

Tasks · Docs · AI

The hub I run Kairos out of. Tasks, docs, and now genuinely useful AI in one place — so the work and the context that explains it live together instead of scattered across 10 apps. I’m ClickUp Certified, so if you want it set up right the first time, ask.*
De

Deel

Tasks · Docs · AI

How you pay a contractor or hire someone in another country without teaching yourself international labor law. If you’re building a lean, remote team, Deel handles the paperwork and compliance so you can focus on the work.*
Create & present
Ga

Gamma

Decks · Docs · Sites

Decks, one-pagers, and simple sites that look designed without hiring a designer. I use it to turn a rough outline into something client-ready in minutes — the fastest way I’ve found to get an idea out of my head and onto a screen.*
Un

Uniqode

QR codes · Digital cards

QR codes and digital business cards that actually track. When I speak or exhibit, this tells me what people did after they scanned — so the follow-up is grounded in real interest, not a guess.*
Marketing & messaging
Mc

ManyChat

DM & comment automation

Automates the DMs and comments on Instagram and Facebook. Someone comments a keyword, they get the link — no one on your team stuck babysitting an inbox all day. Great for turning a viral post into actual leads while you sleep.*
HI

HighLevel

CRM · Funnels · Email/SMS

The all-in-one that replaces a whole stack of marketing tools — CRM, funnels, email and SMS, booking, all under one roof. Handy when you’d rather run your marketing from a single login than duct-tape 6 subscriptions together.*
Automation

Zapier

Simple automation

The easiest way to connect two apps that don’t talk to each other. When something simple needs to happen automatically — a form fills, a row gets added, a Slack ping fires — Zapier is usually the fastest path there. Start here if you’re new to automation.
Mk

Make.com

Visual workflows

Where I go when a workflow gets complicated — branches, loops, data cleanup, real logic. Make gives you far more control than the simpler tools, usually for less money. The tradeoff is a steeper learning curve, so reach for it once Zapier starts feeling cramped.*

Not sure which one?

We'll help you choose

Zapier or Make, ClickUp or something lighter — the right tool depends on your team and what you’re trying to fix. If you’d rather not guess, book a call and we’ll point you at the one that fits.

* Affiliate disclosure

Some of the links on this page are affiliate links. If you feel that supporting our work is worth it, please feel free to use them — if you sign up through one, Kairos may earn a commission at no extra cost to you. Either way, I only list tools I actually use and would recommend without the link.

The opportune moment

Tools are easy. Using them well is the hard part.

We help B2B healthcare teams pick the right tools, wire them together, and use AI without tripping over compliance. One 30-minute call to figure out where to start.
