AI Chatbots: Smart Business, Better Results

Artificial intelligence (AI) Chatbots are becoming the golden standard for customer support and lead acquisition. Explore chatbot basics here!

Does your company have a tool that gives your customers or clients easy access to the information they want?

OR do they have to search your website for a number to call or the information they want.

Just because you have a chatbot does not mean you have to get rid of your phone number, it means you can step into serving customers with the growing standard of having a helper to help them find what they need, faster.

While chatbots can be built poorly, we’ll explore their application and potential in this post.

What is an AI Chatbot?

Artificial intelligence for a chatbot is usually an LLM (Large Language Model), which is trained to understand language in the form of the written word. Through these LLM AI, companies can deploy a large knowledge base (KB) and have bots have a real dialogue with users.

When trained and programmed well*, these chatbots can provide tremendous value.

*In this next era of AI, hundreds and thousands of “lazy” chatbots are being built; they may provide value but will not be consistently valuable.

How can a business use an AI Chatbot?

As cliche as it may sound, the question is, “What can’t an AI Chatbot do for your business or blog?”

Here is a short list of possibilities:

  • Provide basic customer support and escalate to a person
  • Build value and collect incoming leads
  • Convert leads to sales and consults
  • Gather information from a user and prepare for marketing or sales

These tools allow businesses and blogs to collect ANY information from a user and transmit that data to the tools they choose. It could be a CRM, email system, sales team, or support article database.

Let’s look at a process to create and a case study of one such bot.

How do I get an AI bot?

Typically, you want to hire an expert to build you a tool like this. While we’d love to help, here is a list of skills that will help you tackle this on your own:

  • Understanding of AI token limitations
  • Ability to format an AI KB optimally
  • Skilled in AI prompting
  • Familiarity with building automation
  • Talented with integrating API
  • Base understanding of coding languages

It’s not impossible, but it can be daunting to learn. The process of building a bot looks like this:

  1. Determine the goals for the bot
  2. Define the scope of the KB
  3. Map user flow
  4. Design KB
  5. Build Bot Flow, KB, and Interface
  6. Test
  7. Launch

There are tons of videos and courses on this, or you can schedule a call with a Kairos Talks Team Member for an AI consultation.

Case Study:
AI Customer Support and Lead Capture

Working with a business coach, he needed to provide value for his existing customers and leads while helping these users engage with his brand. In discovery, we brainstormed:

  • Providing immense value is good marketing
  • Creating actionable steps for users adds value
  • Answering questions from existing users will help save costs
  • Building value will convert new leads

Using AI to Provide Customer Support:

This bot is integrated with the user’s membership portal, making membership verification a simple task. From there, the bot could send the users relevant content from the membership portal, including courses, videos, blogs, or a link to schedule a call with a coach if they need further assistance.

Using AI to Capture Leads:

For this online community, the owner wanted to equip his audience with tools and value – even if they didn’t pay him yet. It was a “serve” first mentality. Because of this, he could send potential clients the information they wanted by taking a portion of the knowledge base for members and updating it with links to freemium content.

At key points in the conversation, the bot captured their email and phone number, which was synced to his CRM and email system. We added a fun feature that asked how often they’d like to get an email (Every week, every other, or once a month) to decrease opt-outs.

His team now has lead information into his email marketing and can buy back his team’s time.
